From the moment you say yes to the moment your system goes live and everything that stays in place long after. Here's exactly what happens.
Month one is foundational. We start by understanding your customer journey from the outside in: how people find you, how they decide, and how they move through your business. From there, we build a dependency map, a full sequence of everything that needs to be built, in the order it needs to be built, and why.
You review and sign off on that map before a single workflow gets created. Nothing gets built that isn't on it. This protects you from scope creep, surprises, and systems that don't reflect how your business actually runs.
We meet weekly throughout the entire process. Month one requires the most input from you. The more we learn now, the less we revisit later.
What gets done in month one:
Customer journey mapped from first touch to closed client
Entry points identified: website, social media, referrals, direct outreach
Dependency map built showing every piece of the system and the build sequence
You review and sign off on the map before we start building
Platform access live from day one, you're in it as we plan
Weekly check-in established, same time, every week, for the full 90 days
With your approved dependency map in hand, we start building. We always start with your entry points: the places where people find you and get into your system on their own. Your website. Your social media. Your booking links. How are leads arriving, and where are they going once they do? We build those pathways first, then build the backend that connects them to your business operations.
Once your entry points are live and connected, we build the functionality behind them: the pipelines that move people through your process, the automations that handle follow-up and onboarding without you having to manage every step, and the workflows that keep your business running consistently, regardless of how busy you are.
Every week we check in on progress. You always know what's been built, where it lives, and what's coming next. Nothing gets finished without you seeing it.
What gets done in month two:
Website built or integrated — your primary entry point connected to your system
Social media and referral pathways mapped and captured
Data collection built — every lead tracked by source from day one
Pipelines designed around your actual sales and service process
Automations live — lead follow-up, client onboarding, billing, review requests
Email and SMS sequences running automatically
Reporting dashboards giving you one view of what's working
Weekly check-ins — you're never in the dark on what's been built
There's a difference between having access to a system and actually owning it. Ownership means your team can run it, train new people on it, and understand it without having to call us first. That's what month three delivers. Every workflow, every automation, every pipeline, documented in plain language that your team can follow.
We close the engagement with a formal handover session: a complete walkthrough of everything that was built, what it does, and how to use it. You sign off that the system reflects your business before we call it done.
After the handover, the relationship doesn't end; it changes. We're available for IT support.
What gets done in month three:
Full system documentation — every workflow, automation, and pipeline written down
SOPs built for your team — step-by-step instructions for every part of the system
Team training — everyone who uses the system knows how to use it
Final refinements based on your feedback before go-live
Formal handover session — complete walkthrough of everything that was built
We start with a short overview — no obligation, no pressure. You'll see exactly how KaizenCRM works and what the build process looks like. We both decide if it makes sense before anything begins.
